  • billing and delivery address;
  • email address;
  • telephone number where required;
  • order and transaction information;
  • payment-related information provided through our payment providers; and
  • correspondence relating to your purchase.

We do not normally receive or store your complete payment-card details where payment is processed by a third-party payment provider.

Website enquiries and communications

We may collect information you provide when you contact us, complete a website form, make an enquiry, communicate with customer support, or otherwise correspond with us.

Email and marketing

Where you subscribe to our mailing list or otherwise choose to receive marketing from us, we may collect your name, email address, communication preferences and information relating to engagement with our communications where our systems provide this information.

Events, activities and community programmes

Where you participate in an event, reading activity, competition, community initiative or other Mango & Marmalade Stories programme, we may collect information reasonably necessary to administer that activity. The information collected will depend on the particular activity. Additional terms or privacy information may be provided where appropriate.

Family Ambassador Programme

For applicants and participants in the Mango & Marmalade Family Ambassador Programme, we may collect:

  • name and contact details;
  • location or country of residence;
  • social-media account or profile information supplied as part of an application;
  • application responses;
  • programme start and end dates;
  • records relating to programme participation;
  • records of books, audiobooks or other materials provided;
  • communications between the Ambassador and Mango & Marmalade Stories;
  • social-media posts or other Ambassador content submitted or made available for programme purposes; and
  • records of permissions and consents.

Ambassador selection is carried out by Mango & Marmalade Stories. We do not currently use solely automated decision-making to determine acceptance into the programme.

2. Information About Children

Our books and activities are created for families and children, but we aim to collect as little personal information about children as reasonably possible.

An adult is the participant in our Family Ambassador Programme. Children are not required to provide personal information or appear in Ambassador content.

Where a parent or legal guardian voluntarily allows us to use content featuring an identifiable child, we may process information such as the child’s image or likeness, voice, video appearance, and first name or other limited information where genuinely necessary.

We do not require parents participating in the Ambassador Programme to provide unnecessary information such as a child’s home address, school or other detailed identifying information.

Permission concerning identifiable children’s images or videos is handled separately from general Ambassador participation.

Where appropriate, we will also provide privacy information in a form suitable for the child’s age and level of understanding.

3. Why We Use Personal Information

  • process and fulfil orders;
  • provide our products and services;
  • administer payments, refunds and customer accounts;
  • respond to enquiries and provide customer support;
  • manage our relationship with customers and community members;
  • administer events, activities and community programmes;
  • administer the Family Ambassador Programme;
  • assess Ambassador applications;
  • communicate with Ambassadors;
  • keep appropriate records of gifted products and programme participation;
  • publish or repost Ambassador content where appropriate permission has been given;
  • use specific content in paid advertising where separate permission has been obtained;
  • send marketing communications where permitted;
  • improve our products, services and customer experience;
  • maintain the security and operation of our website and systems;
  • prevent fraud or misuse;
  • maintain accounting, tax and business records; and
  • comply with legal and regulatory obligations.

We may also use anonymised information for research, statistical and business-analysis purposes where individuals can no longer reasonably be identified.

4. Our Legal Bases for Using Personal Information

Under UK data-protection law, we rely on different lawful bases depending on what we are doing.

Contract – where processing is necessary to fulfil an order or provide something you have requested.

Legitimate interests – where reasonably necessary for operating and developing our business, administering appropriate business relationships, protecting our systems, preventing fraud or responding to enquiries, provided those interests are not overridden by your rights.

Consent – where you have freely given permission for a particular use, for example certain marketing communications or specified uses of Ambassador or child content.

Legal obligation – where we need to process or retain information to comply with applicable law, accounting, tax or regulatory requirements.

For individuals in the Philippines, we process personal information in accordance with applicable requirements of the Philippine Data Privacy Act of 2012 and its implementing rules. Where processing is based on consent, consent will be obtained for the relevant specified purpose. Where another lawful basis applies, we will identify and use the appropriate basis.

5. Family Ambassador Content and Permissions

Participation in the Family Ambassador Programme does not automatically give Mango & Marmalade Stories unlimited rights over Ambassador or family content. We separate permissions where appropriate.

Ambassador Content Permission

An adult Ambassador may give us permission to repost or use specified Ambassador-created content through our owned channels. The Ambassador retains ownership of their original content unless otherwise agreed.

Child Image and Content Consent

An adult’s participation in the Ambassador Programme does not automatically give us permission to use their child’s image, video, likeness or voice. Where identifiable child content is proposed for use by Mango & Marmalade Stories, appropriate parent or legal guardian consent will be obtained separately where required. Giving this permission is optional and refusing it does not affect the adult’s place in the Ambassador Programme.

Paid Advertising

Permission to repost content organically does not automatically include permission to use that content in paid advertising. Where we wish to use Ambassador or identifiable child content in a paid advertisement, boosted post or other paid promotional campaign, separate permission will be obtained where required.

6. Marketing

We may send you information about Mango & Marmalade Stories products, books, events or activities where you have consented to receive it or where another lawful basis permits us to do so.

You may unsubscribe from marketing communications at any time using the unsubscribe option included in the communication or by contacting us.

Withdrawing from marketing does not prevent us from sending necessary service communications relating to an order, programme or other existing relationship with you.

We do not sell personal information to third parties for their own marketing.

7. Who We May Share Information With

Where necessary, we may share personal information with trusted organisations that help us operate our business, including:

  • website and hosting providers;
  • payment providers;
  • email and communications providers;
  • IT and system-support providers;
  • delivery and fulfilment providers;
  • publishers, printers and distributors where necessary;
  • professional advisers such as accountants, lawyers, auditors and insurers;
  • social-media and advertising platforms where content is published or advertising has been separately authorised;
  • regulators, tax authorities, courts or law-enforcement bodies where legally required; and
  • potential purchasers or advisers in connection with a legitimate business sale, restructuring or transfer.

Where third parties process personal information on our behalf, we require appropriate safeguards and expect them to process the information only for authorised purposes.

8. International Transfers

Mango & Marmalade Stories Ltd is based in the United Kingdom and works with customers, families, service providers and partners internationally, including in the Philippines.

Some of the organisations and technology platforms we use may process personal information in countries other than the country in which it was originally collected.

Where UK data-protection law requires safeguards for an international transfer, we will use an appropriate lawful transfer mechanism or other applicable safeguard.

For personal information relating to individuals in the Philippines, we will take reasonable and appropriate measures to ensure that international processing and transfers are handled consistently with applicable Philippine data-protection requirements.

9. How Long We Keep Personal Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, regulatory and reporting requirements.

Retention periods vary depending on the information involved. For example:

  • transaction and accounting records may generally be retained for up to six years where necessary for tax, accounting or legal purposes;
  • marketing information may be retained until you unsubscribe or we determine that it is no longer necessary;
  • unsuccessful Ambassador application information will be retained only for a reasonable period after the relevant selection process unless there is a lawful reason to retain it longer;
  • Ambassador administration records may be retained for a reasonable period after the programme relationship ends for programme, legal and record-keeping purposes;
  • consent and permission records may be retained as necessary to demonstrate what permission was given and when; and
  • content used on the basis of consent will no longer be used for new consent-based purposes after valid withdrawal, subject to legal requirements and the practical limitations described below.

When information is no longer required, we will delete, anonymise or securely dispose of it as appropriate.

10. Withdrawing Consent

Where we rely on your consent, you may withdraw it at any time and without charge.

Withdrawing consent does not affect processing that was lawful before consent was withdrawn.

Where consent relates to Ambassador or child content, we will stop new consent-based uses without undue delay and remove the relevant content from channels under our control where reasonably practicable and legally appropriate.

Please be aware that information already shared publicly may have been copied, shared or retained independently by other users or third-party platforms. We may therefore not always be able to retrieve every copy from the internet.
